Terms and Conditions for School Groups

 

Introduction

Alongside the general terms and conditions of Conversa Spanish Institute, the following specific terms and conditions apply exclusively to school groups participating in linguistic trips organized by Conversa Spanish Institute. These terms are designed to ensure a clear understanding and smooth management of the services provided to visiting schools.

Appointment

The Visiting School appoints a representative responsible for the linguistic trip to Valencia. This representative will act in accordance with the terms and conditions outlined in this agreement.

Objective

Conversa Spanish Institute provides tuition courses in Spanish as a Foreign Language, along with accommodation, transfers, and activities related to these courses tailored specifically for the Visiting School during their stay in Valencia.

Services Provided

  • Linguistic/Travel Support: Conversa agrees to provide linguistic and travel support as stated in the initial proposal agreed upon by both parties.
  • Additional Services: Any further services will be added to the initial proposal and agreed upon by both parties.
 

Bookings and Payments

  • Initial Deposit: The Visiting School will provide 30% of the total fees for services provided by Conversa at the signing of this contract.
  • Final Payment: The remaining amount must be paid by the Visiting School at least 30 days before the arrival of students in Valencia. All fees must be collected by the Visiting School from the students’ parents/guardians/legal representatives and transferred to Conversa.
 

Cancellations, Refunds, and Postponements

  • Cancellation Notification: Must be made as soon as possible.
  • Fees Due Upon Cancellation:
    • 100% of the total value if canceled after arrival.
    • 70% of the total value if canceled before 30 days of expected arrival.
    • Full refund (minus a €100 cancellation fee) if a student visa is not issued, provided cancellation occurs more than 30 days before expected arrival.
  • Postponements: Can be made free of charge if notified more than 30 days before expected arrival. Postponements less than 14 days before expected arrival are subject to cancellation fees.
 

Mandatory Submission of Student Information

The Visiting School must ensure that all necessary consents are obtained from parents or legal guardians and that the Conversa student information form is completed and submitted no later than 30 days prior to the trip. Failure to provide this information on time may result in accommodation issues and denial of participation in the trip.
